Guest
Registration and Login
As a guest, you’re limited to basic functionality. To unlock extended features, you need to create an account. Follow these steps to register:
- Navigate to the Registration Page
- Click on the Register button or link found on the homepage.

- Fill Out the Registration Form
Provide the following details:
- Username: Choose a unique username.
- Email Address: Enter a valid email address.
- Password: Create a strong password.
- Submit the Registration Form
- After filling in the required fields, click the Submit button to create your account.

- Log In to Access More Features
Once your account is created, you will be directed to a user survey which will need to be completed. After logging in, you’ll gain access to additional features available to General Users.

- To login enter your full name and enter the password you submitted during the time you signed up.

Search For Events
- Navigate to the Home Page.
- At the top, you’ll find a search bar (refer to the image below for guidance).
- Enter the name of the event you’re looking for in the search bar.
- Press Enter to search for the event.
- For a more advanced search press the filter icon at the search bar on the far right(refer to the image below for guidance).

Navigate to the Event venue
- Once you’ve found the event you’re interested in, click on the event
- Click on the “Navigate to venue”.
- You will be shown the location of the event on a map.

Sign out
To sign out you can use two approaches to do this.
- Click on the profile icon on the top right of the page.
- Click on the “Log out” button.
- Alternatively, you can click on the three dots on the bottom right of the page(This is if you are an Admin or Host if not click the settings icon and navigate to profile).
Note: If you are a guest user, you will exit the app without signing out. Various areas within the app will provide options for signing up (refer to the image below for an example of how that might appear).

After creating an account you can do the following:
- RSVP Events: Find the subtitle “RSVP Events” in the respective section to learn how to RSVP to events.
- Notifications: Go to the subtitle “Notifications” to understand how event notifications work.
- Saving Event: Refer to the subtitle “Saving Event” to learn how to save events for later.
- Navigation:
- Event Details: Find the subtitle “Event Details” to learn how to view event details.
Specifically for General user you can explore on this feature:
- HOST Application: Find the subtitle “Host applications” to learn how to apply to become a host.
- Create Events: Find the subtitle “Create Events” in the respective section to learn how to create
events.

Manage Events: Find the subtitle “Manage Events” in the respective section to learn how to manage

Notifications: Go to the subtitle “Notifications” to understand how event notifications work.
- Invite Users: Look for “Invite Users” to find out how to invite others to your events.

General User
Registration and Login
Please navigate to the Guest section of the help menu to get information on how to Register or Login.
Search For Events

View Calendar
- Once you have logged in your app navigate to the calendar icon.
- You will be shown a calendar view of all the events you have RSVP’d to or saved.
RSVP Events
- Once you have logged in your app click on an event.
- ClicK on a button that says “Add to my calendar”.
- This will RSVP your event and add it automatically to the apps calendar.
You will receive notifications for events you have RSVPed to as the event date approaches. For more information on how the notification system works, please refer to the ‘Notifications’ section under the General of this help menu
Save Events
- Once you have logged in your app click on the bookmark icon that would be on the right corner of each event card.

If the book mark button is filled with the colour black that implies it has been save else its not yet saved.(Please refer to the image below for an example of this).
- To see all the events that you have saved:In the home page click the “Saved Events” tab to view all the events you have saved.(Please refer to the image below for an example of this).
Notifications
- Once you have logged in your app navigate to the notification icon.

Once you are on the page there would be three tabs depending what type of user you are :
2.1 if you are a General or Host user you will see the the following tabs:unseen,seen,Invitations.
2.2 if you are an Admin user you will see the following tabs: unseen,seen,Applications
- in the Unseen tab that will contain all notifications you have not yet view
- in the seen tab that will contain all notifications you have viewed
- if you have the Invitations tab that is where are your invitations would be whether they are seen or unseen.
- if you have the Applications tab that is where are your applications would be whether they are seen or unseen.
- There are other notification types that you can get but you will see them under seen or unseen .
Types of Notifications and what they are:
- Broadcasts:
- Messages sent by the admin to all users of the app.
- These messages may also be sent when a host updates or deletes an event, or when the host wishes to communicate additional information to current attendees.
- Invitations:
These messages are sent directly from a host to an individual, inviting them to an event.
The recipient can choose to accept or ignore the invitation. If accepted, the event will be RSVPed and automatically added to the user’s calendar.
Manage Profile
- Once you have logged in your app navigate to the profile icon or you can access settings then navigate to profile to make personalized changes.
Host applications
- After logging into the app, navigate to the profile icon or access the settings menu.
- Once you are on the profile page click on the “Host application” tab.
- You will be directed to a host application form. Fill in the required details.
- Once you have filled in the form click on the “Submit” button to submit your application.
- If you provided a student email address, a verification link will be sent to your inbox. Click the link to verify your application.
- After verification, your application will be reviewed by the admin. You will receive a notification about the status of your application once it has been processed
Application status:
- Accepted: Your application has been approved, and you are now a host. You will need to acknowledge this status to smoothly transition into your temporary host role.
- Rejected: Your application was not approved, and you have not been granted host status.
- Once approved, you will be able to create and manage events as a host.
Note: If your application is rejected, you must wait one month before submitting a new application. Ensure you request a sufficient hosting duration to avoid delays. Alternatively, you can contact an admin directly to request a promotion without reapplying.
Other features
The user will have to create host application to have access to host privileges such us:
- Event Management which includes
- manage attendees(Attendees list)
- broadcast messages directly to attendees
- Create events,Edit events, Delete events can be seen under this section as well
- you can view Past events
- view your events analytics under profile

Edit events
- Once you have logged in the app you can press the more button found at the bottom navigation bar (three vertical dots).
- Press the Manage events
- Then open my events tile.
- press the event you want to delete
- The detailed page will pop up.
- Press the edit event button.
- you will be presented with the a form with all the already existing information of the event .
- you can change any field.
- After your changes you can then submit and a notification would be sent to attendees about your update.
Delete events
- Once you have logged in the app you can press the more button found at the bottom navigation bar (three vertical dots).
- Press the Manage events
- Then open my events tile.
- press the event you want to delete
- The detailed page will pop up.
- Press the delete event button then the event would be deleted.

Create Events

After logging into the app, navigate to the “Create Event” icon, represented by a plus sign (see the image below for reference).

Complete the event form by either manually entering the details or using the Smart Suggestion feature, located at the top-right corner of the event page (refer to the image below for an example).

Using Smart Suggestions:
3.1. Click on the Smart Suggestion icon, represented by a sparkle (see the image below for an example).
3.2. After clicking, enter the event title and a brief description. The Smart Suggestion feature will generate and autofill details such as the event description, category, time, venue, and recommended number of attendees based on your input. Simply select an option, and the fields will automatically populate. (Refer to the image below for an example of how it works).
Invite Users
This feature becomes available immediately after creating an event, or you can access it by editing an existing event to invite users.
How to Invite Users:
- You will be directed to a page with a search field at the top.
- Type the name of the user you want to invite in the search field and select them from the results.
- After selecting a user, click the “Invite” button, represented by a plus sign (see illustration below).
To remove a user from the invite list, click the trash icon next to their name.
- Once you’ve finalized your invitees, click the “Send” button, represented by an arrow icon (see illustration below), to submit your list.
Attendees will receive a notification for the invite. For more information on how notifications work, refer to the “Notifications” section under General in this help menu.
Event Management
1. Manage attendees (Attendees list):
Access this feature through the “Manage Events” section.
- If you’re a host, navigate to “My Events.” Admins can manage all events through the “Admin” section.
- Click the “Attendees” button to open the list of attendees.
At the bottom right of the page, you’ll see two buttons: a down arrow and an up arrow.
- The down arrow allows you to export the attendee list as a CSV file, while the up arrow lets you import an updated list.

Working with the Attendees List:
1. Once you've downloaded the list as a CSV file, you can open and edit it in spreadsheet software such as Microsoft Excel, Google Sheets, LibreOffice, or a text editor.
2. You can update each attendee's status using the following options:
Present, Absent, Unknown
3. After editing, simply upload the file back into the system. The status updates will be displayed on the user interface.
2. Broadcast Messages to Attendees:
Once your event is created and attendees have RSVPed, you can send broadcast messages directly to attendees. To do this:
- Navigate to the event management section.
- Click on the “Broadcast” button next to the event details.
- Type your message in the text box provided.
- Click “Send” to broadcast your message to all attendees. This can be used for event updates, reminders, or changes in event details.
3. Past events :
You can view your past events by:
- Navigating to the “My Events” section under event management.
- Selecting the “Past Events” tab to see a list of events that have already occurred.
- Here, you can review event details and export attendee lists for analysis.
Analytics (My analytics)
- Navigate to the home page and go to the top left and click your profile.
- Then click the button option called “My Event Analytics”.

- once inside you will see analytical points about the events that you have hosted more information can be found on the information icon about the graphs.

Admin management Host Application
- Navigate to the “More” button located at the bottom-right corner of the navigation bar (represented by three vertical dots).
- Click on the “Event Management” option.
- Click on the “General user host applications” option.

You will see a list of host applications categorized under four tabs:
- Pending: Host applications that are waiting for verification through email.
- Verified:Applications that have been verified.These applications can be verified without an email but through the documentation the user uploaded
- Promoted:Users who have been promoted to host.
- All:A complete list of all host applications.
- When you click on a user’s application, you will see the following details:
- Profile Picture and Username of the applicant.
- An option to view the application details, where you can:
- Review the reason for the application.
- View any documentation the user has uploaded to support their request for promotion.
- See which admin processed the application.
- The current status of the application (with an information icon that explains the meaning of each status when clicked).
- Depending on the application’s status, you can reject, accept, or demote the user.

This feature is the same as host only difference is that you have control over all events in the app in its entity.
